Here's how to manage various order statuses like canceling, archiving, and deleting orders within your Shopify admin:

Cancel an Order

Canceling an order is necessary if the order is no longer needed or requested to be canceled by the customer. This action stops any further processing of the order.

Steps:

  1. Navigate to Orders: Go to your Shopify admin and select Orders.
  2. Select the Order: Click on the order you wish to cancel.

  4. Refund Payment: Choose how to handle the refund:
    • Refund now: Immediately issues a full refund.

  6. Notification: Opt to send a notification to the customer about the cancellation.

Steps:

Delete an Order

Deleting an order should be done cautiously, as it removes the order from your Shopify admin permanently. This is generally reserved for test orders or orders created by mistake.

Conditions for Deletion:

  • Orders paid with a manual payment method.
  • Draft orders marked as paid.
  • Test orders using the Bogus Gateway or Shopify Payments in test mode.
  • Orders imported via the Shopify API.

Steps:

  1. Access Orders: Navigate to the Orders section in your Shopify admin.
  2. Select the Order: Click on the archived or canceled order you wish to delete.
  3. Delete the Order: Click Delete order and confirm the deletion.

Additional Notes:

  • Restocking: Ensure to select the restock option if you want the items back in your inventory upon cancellation.
  • Refunding: Decide whether to issue a refund immediately or later, based on the situation.
  • Archiving vs. Deleting: Remember, archiving is reversible and keeps the order out of active views without removing data, while deleting is permanent and removes the order from records.
